ITC Cancellation Policy
Important Information
The International Telemetering Conference (ITC) is committed to providing a high-quality experience for all attendees. Because ITC incurs significant costs prior to the event, the following policy applies to all registrations.
Cancellations and Refunds
All cancellation requests must be submitted in writing to the Conference Registrar.
- Through September 15, 2026: Full refund minus a $50 administrative processing fee.
- September 16 – October 23, 2026: 50% refund of the registration fee.
- After October 23, 2026: No refunds will be issued, except in the case of official government shutdowns or travel restrictions (see exception policy below).
- No-Shows: Refunds will not be granted for failure to attend without prior written notice of cancellation. Standard no-shows result in a total forfeiture of registration fees.
Substitutions
If you are unable to attend, you may transfer your registration to a colleague at any time at no additional cost. Please contact registration@telemetry.org with the original registrant’s name and the replacement’s full details.
Force Majeure & Government Shutdowns
In the event of a Government Shutdown, travel ban, or other Force Majeure event, the following rules apply:
- Extended Notification Window: Written notification and refund requests must be submitted to the ITC Registrar no later than November 30, 2026 (one month following the conclusion of the conference).
- Review Process: Requests submitted within this window will be considered for a refund or credit on a case-by-case basis.
- Exception Restriction: This extended window applies strictly to documented government or travel restrictions. It does not apply to standard no-shows, which remain subject to total forfeiture of fees.
Hotel Reservations & Cancellations
- Registration for the conference does not automatically cancel or modify your hotel reservation.
- Attendees are solely responsible for managing their own travel and lodging arrangements.
- Any hotel cancellations must be handled directly with the host hotel and are subject to the hotel’s specific cancellation policies and deadlines. ITC is not responsible for any room fees, taxes, or “no-show” penalties incurred by the attendee.
